Terms and Conditions under Australian Consumer Law
These Terms and Conditions do not affect any rights registrants may have under the Australian Consumer Law as set out in Schedule 2 of the Competition and Consumer Act 2010 (Cth) (as amended from time to time).
Event registrations
Acceptance
By registering for an IPAA Victoria Professional Development Program* (“Program”), Event or Activity, IPAA Victoria’s Booking Terms and Conditions are acknowledged and accepted.
Confirmation
IPAA Victoria will send an automated email confirming the registration to the email address provided with the booking. Please email info@vic.ipaa.org.au if you need to update the email address provided or other contact details. IPAA Victoria reserves the right to seek payment on invoices issued to email addresses incorrectly provided at registration and not corrected. Once the confirmation email has been sent, the registration is valid for the purposes of cancellations, transfers and payments.
IPAA Victoria will send a reminder and /or final email to the email address provided with the booking prior to the Program, Event or Activity. Occasionally, information will change after registration, it is therefore important that all of the information contained in the final email is read.
IPAA Victoria may send an SMS reminder prior to the Program, Event or Activity, where a mobile number has been provided with the registration.
*IPAA Victoria’s Professional Development Programs includes specialised training, courses, workshops, conferences, seminars or other activity, formal education, or professional learning, which assists clients to improve their professional knowledge, competence, skill and effectiveness.
Payments
Invoices and Receipts
Payment is required at the time of booking. Registrations are not confirmed until payment has been received. A tax receipt will be generated at the time of registration and sent to the email address provided at the time of the booking.
A tax invoice may be issued on request. If an invoice is generated, it is the responsibility of the registrant / booker to pass this invoice onto their accounts department for payment.
Your purchase order number may be inserted at time of booking.
GST Liability
Fees and charges for all IPAA Victoria Programs, events and activities are GST inclusive, unless otherwise indicated.
Terms of Payment
Payment is required at the time of booking. If an invoice is generated, IPAA Victoria’s terms of payment of invoices are within thirty (30) days from the date of invoice for organisation / departments or prior to the program, event or activity if you are an individual (member or non-member).
IPAA Victoria reserves the right to charge a late fee for invoices exceeding the thirty (30) day payment terms.
IPAA Victoria reserves the right to cancel your membership if you fail to pay membership fees within ninety (90) days of the renewal date. When this occurs, any applicable discounts accessed through your membership will be reversed and you will be invoiced the difference for payment.

Payments can be made using the following methods:
Credit Card
IPAA Victoria does not accept American Express.
Payment can be made by Visa and Mastercard only:
online, at the time of booking; or
phone by contacting IPAA Victoria at (03) 9653 2000.
A tax invoice / receipt is raised at the time of booking and sent with a confirmation email.

Cancellation, Transfer and Substitution Policy
Cancellations
IPAA Victoria requires notice of cancellation in writing, at least ten (10) clear business days prior to the Program, Event or Activity date, before a full refund is to be given.
Transfers for Professional Development Programs
Bookings and payments already made for specific Programs, can be transferred to a later date for the same Program, provided notice is given at least ten (10) clear business days prior to the original Program date.
Where notice of transfer is provided less than ten (10) clear business days prior to the Program date, a late transfer fee will be charged at the rate of 25% of the Program fee. The late transfer fee may be waived at the discretion of IPAA Victoria.
Transfers for Events and Activities
Bookings and payments already made for specific Events or Activities, cannot be transferred to alternative, Programs, Events, or Activities. It is possible however to arrange a substitute registrant with IPAA Victoria.
Substitute Registrants
If a registrant is unable to attend a Program, Event or Activity, the registration can be transferred to another person, no later than one (1) clear business day prior to the Program, Event or Activity. To do this, notify IPAA Victoria by email including details of the current person booked in, as well as the replacement attendee’s name, title, organisation/department, email address and mobile number.
IPAA Victoria will endeavour to accommodate special dietary requirements for late substitute registrants, but unfortunately this cannot be guaranteed.
Substitute Registrations for Platinum Members
If the registrant is using a Platinum Member voucher, substitute registrants may be nominated at any time prior to Program commencement. Voucher usage is subject to the same booking terms and conditions as registrations involving payments. Should a substitution not be possible, the Platinum Member voucher will be forfeited.
Non-Attendance
There is no refund for non-attendance at a Program, Event or Activity on the day.
In-house Professional Development Programs Policy
Deposits
A deposit of fifty percent (50%) of the agreed in-house professional development program fee is required upon confirmation of the booking.
Cancellation
IPAA Victoria requires notice of cancellation in writing, more than twenty (20) clear business days prior to the in-house professional program delivery date, before a full refund is to be given.
If a cancellation is made up to or including twenty (20) clear business days from the in-house professional program delivery date, the full deposit will be forfeited.
Transfers
Bookings and payments already made for in-house professional development programs, can be transferred for the same in-house professional development program to a later date (not, an alternative professional development program) provided notice is given more than twenty (20) clear business days prior to the original date. Where the transfer is less than or including twenty (20) clear business days, the client is liable for any expenses incurred by IPAA Victoria in relation to the transfer.
Services
IPAA Victoria will; develop a professional development program that meets the clients requirements as provided to IPAA Victoria at the time of booking; provide a professional facilitator to deliver the in-house professional development program at a mutually agreed date and time and provide the course materials for each attendee. The client is responsible for all other services e.g. catering and venue.
IPAA Victoria Cancellation – Postponement – Alternation
IPAA Victoria reserves the right to cancel or postpone a scheduled program, event or activity to an alternative date. Every attempt will be made to organise a suitable alternative date. If a suitable alternative date cannot be agreed, the fee will be refunded in full.
IPAA Victoria reserves the right, at any time, to alter a program, event, activity, or presenter as it deems necessary and without providing notice.
The delivery formats used by IPAA Victoria are stated on the IPAA Victoria website for each scheduled program, event or activity. These formats may include in-person, online, or hybrid delivery.
Where a program, event or activity is listed for in-person or hybrid delivery and COVID lockdown restrictions prevent it from being delivered in-person, IPAA Victoria reserves the right at any time, to change to an online delivery format. This includes instances where density limits may apply.
IPAA Victoria reserves the right to alter a Program, Event, Activity, or presenter without further notice.
Image Release Policy
Registrants/attendees of IPAA Victoria Programs, Events and Activities, agree to IPAA Victoria’s Image Release Policy:
“By entering these premises, you understand that you may be photographed, filmed or videotaped and you hereby give IPAA Victoria the unqualified right to take pictures and/or recordings of you and grant the perpetual right to use your likeness, image and photo (collectively “image”) without compensation, for broadcast or exhibition in any medium and to put the finished pictures/recordings to any legitimate use without limitation or reservation. You hereby waive, release and forever discharge IPAA Victoria from and against any and all claims or actions arising out of or resulting from any use of your image. IPAA Victoria shall not be obligated to use, and may elect not to use your image.”

Your Rights and Obligations at the Program – Event – Activity
IPAA Victoria reserves the right, without any liability, to refuse admission, in its absolute discretion, including without limitation, for failure to comply with these Terms and Conditions, or if in the opinion of IPAA Victoria, the registrant/attendee represents a security risk, nuisance or annoyance to the running of the Program, Event or Activity.
Registrants/attendees are required to comply with all reasonable instructions issued by IPAA Victoria or the operator of the venue for the Program, Event or Activity.
All unauthorised photography and the recording or transmitting of audio or visual material, data or information is expressly prohibited in or at the venue.
Privacy Policy
IPAA Victoria is bound by the Australian Privacy Principles pursuant to the Privacy Act 1988 (Cth) (as amended from time to time). All personal information collected and used in providing Programs, Events and Activities, is undertaken and protected in accordance with IPAA Victoria’s Privacy Policy.
Limitations of Liability
Limitations
Provisions of the Competition and Consumer Act 2010 and other laws in force from time to time may impose guarantees, warranties, conditions and obligations on IPAA Victoria (Consumer Guarantees). If any of these Terms and Conditions are inconsistent with a Consumer Guarantee, the Consumer Guarantee will apply to the extent of such inconsistency. To the extent permitted by law, IPAA Victoria’s liability and sole remedy will be limited to a refund of the fee paid to IPAA Victoria.
Indemnity
IPAA Victoria, its Directors, employees, agents, contractors and sub-contractors shall be fully indemnified by the registrant / booker from any claim, cost, demand, liability or damage (including legal costs and professional costs and other expenses on a full indemnity basis) arising out of or in connection with the Program, event or activity, including but not limited to;
(a) Breach of these Terms and Conditions;
(b) Use of the venue or attendance at the Program, event or activity;
(c) Any loss or damage to any goods located at the venue;
(d) Infringement of any Intellectual Property or other right of any third party (including the venue).
